1. Introduction

HausWise is a household and apartment management application that helps flatmates collaborate, organize tasks, manage shopping lists, coordinate calendars, and share important notices.

This Privacy Policy explains what information we collect, how we use it, how we share it, and what rights you have regarding your personal data. This policy applies to our mobile application (iOS and Android) and web application.

By accessing and using HausWise, you acknowledge that you have read and understood this Privacy Policy and agree to be bound by its terms. If you do not agree with our practices regarding your personal data, please do not use HausWise.

2. Information We Collect

Account and Authentication Information

When you create an account, we collect your email address, full name, display name, password (encrypted and hashed), user ID, and profile picture. We also store your account creation date and last login information.

Apartment and Household Data

When you create or join an apartment, we collect the apartment name, member information (names and emails of your flatmates), user roles and permissions, invite codes, and apartment settings.

Feature-Specific Data

Depending on how you use HausWise, we collect:

  • Tasks and todos: titles, descriptions, status, due dates, assigned users, and categories
  • Notices and updates: titles, content, categories, publication dates, and attached images
  • Shopping lists: item names, quantities, prices, and completion status
  • Calendar events: titles, descriptions, dates, times, and attendees
  • Home appliances: appliance information and maintenance history

Media and Images

When you upload images to HausWise (primarily through notices), we store the image files, metadata (filename, size, upload date, dimensions), and usage information. HausWise requests permission to access your device's photo library. You have full control over which images you share.

Device and Technical Information

We automatically collect device type, operating system version, app version, device identifier, network status (online/offline), IP address, general location (country/region), crash reports, error logs, and app usage patterns.

3. How We Use Your Information

We use your information to:

  • Create and manage your account
  • Provide core features such as tasks, notices, shopping lists, and calendar
  • Share data securely with flatmates in your apartment
  • Store and display images you upload
  • Send notifications about updates and invitations
  • Improve app performance and user experience
  • Debug technical issues and prevent fraud
  • Comply with legal obligations

We do not sell, rent, or share your information with third parties for marketing purposes. We do not use your data to create marketing profiles or track you across other apps and websites.

4. Data Sharing and Third Parties

Sharing Within Your Apartment

Your flatmates can see your name, email, profile picture, tasks and todos you create or are assigned to, notices you post, calendar events you create, and your activity in shared lists. When you leave an apartment, you no longer share information with those members.

Third-Party Service Providers

HausWise uses Supabase for backend infrastructure, including database management, user authentication, and cloud storage for images. For more information, see Supabase's privacy policy at https://supabase.com/privacy.

We do not share your data with other third parties for marketing, advertising, or unrelated purposes.

5. Data Security

We implement industry-standard security measures to protect your information:

  • All data is encrypted in transit using HTTPS/TLS protocol
  • Passwords are hashed using strong encryption algorithms
  • Database encryption is enabled for data at rest
  • Role-based access controls and authentication are enforced
  • Security patches and updates are applied regularly
  • Image files are validated before upload

While we implement robust security measures, no system is completely secure. We cannot guarantee absolute security against all threats. If you discover a security vulnerability, please contact us immediately.

6. Data Retention

We retain your data according to the following schedule:

Active Accounts: Your data is retained as long as your account is active.

Notices and Updates: Active notices are retained indefinitely (or until expiry date). Archived notices are retained for 90 days and deleted permanently after 7 days.

Tasks and Todos: Active tasks are retained indefinitely. Archived tasks are retained for 180 days and can be manually deleted.

Images and Media: Images are retained as long as the associated content exists. Deleted images are removed from storage within 7 days.

Deleted Accounts: Personal data is deleted within 30 days of account deletion. Apartment data remains accessible to other members. All associated images are deleted. System backups may retain data for up to 90 days.

7. Your Privacy Rights and Controls

Your Legal Rights

Depending on your location, you may have the right to:

  • Access a copy of all personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your personal data
  • Restrict how we use your information
  • Receive your data in a portable format
  • Object to specific uses of your data
  • Withdraw consent for data processing at any time

In-App Privacy Controls

You have direct control over your data through the app. You can edit your profile information, delete your account, leave apartments, delete content you created, clear archived items, and transfer apartment ownership.

8. App Permissions

HausWise requests the following device permissions:

Photo Library: Allows you to attach images to notices. You control which photos you choose to share.

Camera Roll: Provides access to your device's photo library for selecting and uploading images.

Network Status: Detects when your device is offline or online to provide appropriate functionality.

We only request necessary permissions for core app functionality. You can manage these permissions in your device's settings.

9. Children's Privacy

HausWise is not designed for children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete such information as quickly as possible.

10. International Data Transfers

HausWise uses Supabase for data storage, which may store your data on servers located in different countries. For users in the EU and EEA, we comply with GDPR requirements for international data transfers using Standard Contractual Clauses.

By using HausWise, you consent to the transfer of your information to countries outside your country of residence, which may have different data protection rules.

11. Cookies and Similar Technologies

Mobile App: The HausWise mobile app uses local device storage for session data and preferences. We do not use tracking cookies or third-party analytics cookies.

Web App: The HausWise web application uses authentication tokens for secure login sessions and session storage for user preferences. We do not use third-party tracking cookies or advertising cookies.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, new features, legal requirements, or security updates. We will notify you of significant changes through an in-app notification, email, or by updating the "Last Updated" date on this page.

Your continued use of HausWise after updates means you accept the revised policy. We encourage you to review this policy periodically.
